Overview
The Exchange lists in REG allow you to view and manage all exchanges you have sent or received. Exchanges are organised by status, making it easy to track progress, review completed items, or manage drafts. This guide explains how to navigate and use the Document Exchange lists efficiently.
Accessing Document Exchange Lists
Once logged in, click the menu icon (
) at the top left to open the page.
Select Exchanges > Sent.
Understanding Exchange Statuses
Exchanges are organised into nine status types:
Cancelled
Exchanges that were cancelled before completion. This status shows the cancellation date.Completed
Completed exchanges. This view shows the subject, whether acceptance was required, responses, files, tags, and the date the exchange was completed and closed.Draft
Exchanges you have started creating but have not yet sent.Expired
Exchanges that were not accepted and closed before the expiry date.Open
Active exchanges that are yet to be accepted, rejected, or withdrawn, and have not expired.Partially Completed
Exchanges where at least one recipient has responded, but not all required responses have been received.Rejected
Exchanges that have been declined by one or more recipients. This status shows the rejection date.Sending
Exchanges that are in the process of being sent to recipients and are not yet fully delivered.Withdrawn
Document exchanges you sent but withdrew before receiving a response. This status shows the withdrawal date.
By default, the system displays All Exchange.
To change the view:
Click the status drop-down on the right-hand side of the actions bar (e.g., All (4)) and select the status you wish to view.
Exchange Categories
Exchanges are the further categorised into groups based on their current status, making it easier to filter and manage them.
All
Displays all document exchanges, regardless of status.Active
Displays exchanges that are currently in progress and require action or are awaiting completion (for example, Open, Sending, or Partially Completed).Inactive
Displays exchanges that are no longer active and do not require further action (for example, Completed, Cancelled, Rejected, Withdrawn, or Expired).Draft
Displays document exchanges that have been created but not yet sent.
Send Reminder
You can send a reminder to recipients of the exchange with an Open status.
To issue a reminder:
Select the Send reminder icon (
) on the associated exchanges column.
A pop-up will appear with a message confirming whether you want to send the reminder to the number of recipients that have not yet replied to the exchange.
You have the option to review the full recipients list by selecting
.
Click Send.
Understanding the Columns
Each exchange list includes the following columns:
Subject
Status
Expiry Date
Last update on
Sent on
Tags
Response progress
Columns can be sorted by clicking the adjacent down-arrow icon ( ) on the column header and selecting your preferred sorting option.
Filtering Exchanges
You can filter document exchanges in two ways:
Click the filter icon (
) on the right-hand side. A side panel will open with available filter options.
Use the
bar in the actions bar to filter by specific terms.
Viewing an Exchange
When you hover over a document exchange row, the Subject will highlight in blue.
This indicates a clickable link.
Click the exchange name in the Subject column to open the View Document Exchange page, where you can review full details.
