Overview
Templates allow you to create reusable documents that can be issued securely through the Network. You can upload existing documents, customise them with merge fields and signature blocks, and publish them for use in Exchanges.
This guide explains how to create and publish a new template.
Create a New Template
Once logged in, click the menu icon (
) at the top left to open the page.
Select Exchanges > Templates.
You will be presented with three options:
Upload an existing document
Clone a template (already published on the Network)
Start from scratch
For this example, select Upload a document.
Choose Upload a file or drag and drop the file from your desktop (Word document format required).
Click Continue.
The Network will display the document in a Word-style format to keep editing familiar.
Customising the Template
Once uploaded:
Enter a Template name *.
Select a Document type (not compulsory).
Use Reporting > Insert Merge Fields.
What Merge Fields Do
These fields automatically pull live data from the REG Network and populate the document when the Exchange is issued. This means you don’t need to manually edit each document for different recipients.
Dynamic fields:
Automatically insert stored information into the document
Personalise each version of the template per recipient
Reduce manual editing and the risk of errors
Ensure consistency across bulk-issued documents
Choose from Sender or Recipient fields as required.
Recipient Fields
Recipient fields pull data directly from your connection’s profile. To insert a field, simply place your cursor where you want the data to appear, then select and click the desired field(s) (below) to add it at that location.
Available recipient fields include:
Signature Field
Exchanges, such as terms of business agreements (ToBAs), often require signatures to become legally binding.
To add a signature block, select Insert > Signature Field.

Use your cursor to draw a block in the document where you want the signature to be placed.
Actions
Once all actions, such as adding merge fields, placing signatures, and formatting are complete, you can choose to:
Save Draft
Delete Draft
Publish
Once published, the template will appear on your Templates page and will be ready to use for sending a new exchange.
